Terms of Service

These Terms of Service ("Terms") govern your use of SOC.GOLF, a golf society management platform (the "Service"). By creating an account, starting a free trial, or otherwise using the Service, you agree to these Terms. If you don't agree, please don't use the Service.

1. Who we are
We're based in the United Kingdom and operate SOC.GOLF from there, though the Service is available to golf societies internationally (see International use below).
2. The Service
SOC.GOLF lets golf societies manage members, events, competitions, handicaps, notices and (where enabled) membership dues from one place. We offer a free trial and paid subscription plans (currently "Birdie" and "Eagle") with different feature sets and member limits, as described on our pricing page.
3. Accounts and eligibility
- Each golf society has one or more administrators, who manage membership, billing and settings for that society, and members, who are invited by an administrator.
- You must be at least 18 to register a society or act as an administrator. Members may be younger — from age 16 — since they're invited and managed by an administrator rather than registering themselves.
- You're responsible for keeping your login details secure and for all activity that happens under your account.
- You must give accurate information when registering and keep it up to date.
4. Free trial
New societies get a free trial period with no upfront payment. If the trial isn't converted to a paid plan, we'll email reminders as it approaches expiry; an unconverted trial is eventually closed and, after a further retention period, permanently deleted — see our Privacy Policy for the exact schedule. We may change trial length or terms for future signups at any time.
5. Subscriptions, billing and renewal
- Paid plans are billed annually in advance and renew automatically each year unless cancelled before the renewal date.
- Payments are processed by Stripe. We don't store your card details ourselves — Stripe handles them directly.
- When you subscribe or upgrade, access to the paid plan's features starts immediately, and your card is charged at that point (or, for an upgrade partway through a billing year, a pro-rated amount for the remainder of that year).
- Prices are shown, in GBP, at checkout and on our pricing page. We'll give reasonable notice before any price change takes effect for your next renewal.
- If a payment fails, we may restrict access to the Service for that society until it's resolved, in line with the grace period shown in your account.
6. No refunds
Under the UK's Consumer Contracts Regulations, you'd normally have a 14-day "cooling-off" right to cancel a distance contract for a refund. Because SOC.GOLF is a digital service that you get immediate access to the moment you subscribe, that right doesn't apply once the service has started being supplied with your consent — which is exactly what you confirm by ticking the consent box at checkout. If you'd rather not lose that cooling-off right, simply don't check the box and don't subscribe until you're sure; the free trial is there for that reason.
7. Cancellation
An administrator can cancel a subscription at any time from Settings or via the billing portal. Cancelling stops the next renewal — you keep access to your paid plan until the end of the period you've already paid for, and it won't be charged again after that. Per the section above, cancelling doesn't refund any part of the current billing year.
8. Acceptable use
You agree not to:
- use the Service for anything unlawful, fraudulent, or harmful to others;
- upload content that's defamatory, harassing, obscene, or infringes someone else's rights;
- try to gain unauthorised access to another society's data or to our systems;
- interfere with the Service's normal operation (for example, by overloading it or attempting to bypass its security);
- resell or provide the Service to third parties outside of your own golf society's normal use.
We may suspend or close an account that breaches these Terms, including a whole society's account where the breach comes from how it's being administered.
9. Your content
You keep ownership of the content your society adds — notices, event details, competition results, photos and similar. You're responsible for making sure you have the right to post it (for example, permission to use a photo of a member), and society administrators are responsible for what's posted within their own society. We may remove content that breaches these Terms or applicable law.
10. Availability and disclaimers
We aim to keep the Service available and reliable, but we don't guarantee it will be uninterrupted, error-free, or available at all times — maintenance, third-party outages (for example with our hosting or payment providers) or events outside our control can affect it. The Service is provided "as is", without warranties beyond those that can't be excluded under applicable law.
11. Limitation of liability
Nothing in these Terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that can't be limited under applicable law. Subject to that, our total liability to you arising out of or in connection with the Service is limited to the amount you've paid us in the 12 months before the claim arose, and we're not liable for indirect or consequential losses (such as lost profits or lost data) arising from your use of the Service.
12. Data protection
How we collect, use and protect personal data — including what happens to it when a society closes or a trial lapses — is set out in our Privacy Policy, which forms part of these Terms.
13. International use
The Service is available to golf societies outside the UK, and these Terms apply wherever you use it from. If you access the Service from outside the UK, you're responsible for complying with any laws that apply to you locally; we make no representation that the Service is appropriate or available for use in every country.
14. Changes to these Terms
We may update these Terms from time to time — for example, as the Service changes or to reflect a change in the law. We'll post the updated version here with a new "last updated" date, and for material changes we'll make reasonable efforts to let existing customers know (for example, by email). Continuing to use the Service after a change takes effect means you accept the updated Terms.
15. Governing law
These Terms are governed by the law of England and Wales, and the courts of England and Wales have non-exclusive jurisdiction over any dispute arising from them or from your use of the Service — meaning you can also bring a claim in your own country's courts if local consumer law gives you that right.
